    WE’s Social and Digital Strategies team is looking is looking for a talented, self-motivated administrative professional to support key senior personnel on a fast-paced, dynamic team and be an active member of the larger administrative staff. This position requires a sound multi-tasker who can perform a variety of administrative duties while also managing frequent cross team interactions and deliverables. This role would also act as a liaison between the senior team members and the staff, clients, and vendors. A successful candidate will be someone who is able to communicate well at all levels, manage multiple priorities, and can manage their time efficiently and effectively.

    Daily support of key leads (in line with WE’s administrative service level agreement (SLA))  including but not limited to: calendar management,  inbox management, travel via our travel agency, processing expense reports, drafting/formatting documents on behalf of your lead(s)

    • Apply your kick ass strategic business thinking in support of lead(s) by understanding the agency’s business and how the Executive’s work fits in.
    • Show us your stellar communications skills by offering insight or additional context where necessary to assist your lead(s) in decision-making.
    • You take being proactive seriously by taking the initiative in support of the team’s needs.
    • Customer service is your mantra. You display and model your lead(s) high level of customer service - both to internal and external clients.
    • Confidentiality. Enough said.
    • Over communication is your jam. You manage frequent cross team interactions and deliverables across time-zones. You take seriously the need to communicate and regularly collaborate with administrative team across all of WE’s offices.
    • You like keeping in the loop so you prioritize, attend, and participate in assigned team and administrative team staff meetings. You even take it a step further and summarize meeting and action items as requested.
    • You screen incoming calls, correspondence and interoffice materials; determine priority and respond appropriately. You take action.
    • You run errands for business reasons as needed and appropriate.
    • You like to run a tight ship. You keep appropriate team/client files and records as requested to ensure completeness, historical accuracy and easy retrieval of information.
    • You own and/or coordinate client and/or team budget, including summarization, running/interpreting reports and in some cases, projecting expenditures. You keep the engines running.
    • Being part of a larger team is in your bones so you occasionally back fill other support staffs vacation/PTO.


    Basic Qualifications:

    • Education: High school education with a preference of an additional two to four years of university and/or trade school, or other administrative training in business, office administration or secretarial services • Five to seven years equivalent level of experience • Ability to accurately keyboard at 60+ wpm • Proficiency in MS Word, Excel, Outlook and PowerPoint is required
